Define account share settings

The best way to find deals to work on with a partner is to account map. Account mapping is how channel managers and sales reps identify the best accounts to work on together.

PartnerTap eliminates the manual spreadsheets and email process and replaces it with a secure digital platform to share sensitive data and automate account mapping with partners. We give you full control over what data you share with each partner and make it easy to set up real time sharing rules for accounts.

“Account Share Settings” are where you specify exactly what data you share with your connected partners. These share settings are criteria-based settings that ensure your partner can see the exact accounts you want them to see, without waiting for your next spreadsheet.

Once your data is in PartnerTap, and you have connected with a partner, the next step is to set up your account sharing rules. Below are the 3 rules you will need to define.

Record scope Pick the “scope” of account records you want to share. Examples: all accounts, only mutual accounts, only mutual customers, all customers, all accounts with open opportunities, and many more.
Which columns Choose which columns of data you want to share with this partner.
Custom filters Narrow down the criteria for which type of account records you share with custom filters.

Step-by-step instructions

To set your share settings go to: 

  1. The left-hand side menu and select “PARTNERS” > “CONNECTED”. You should be on your “CONNECTED PARTNERS” page.
  2. Select the partner you’re ready to share data with by clicking “VIEW” on their tile.
  3.  From the “PARTNER DETAILS” dashboard page, select the “SHARE” sub-navigation tab.
  4.  On the “ACCOUNTS” tile, use the “SCOPE” dropdown to select the scope of accounts you’d like to share. The scope defines the type of records you want to share. You can click on the question mark next to the sharing scopes field to see more details about each option.
  5. From the “COLUMNS” picklist, select the set of columns (fields of data) you’d like to share with this partner. You can have many more columns of data inside PartnerTap, but your administrator defines which columns may be shared with partners and you select from those options here.
  6. Decide whether or not you want to limit the accounts you share with advanced filters (e.g. apply a filter so you are only sharing accounts that are in a specific territory, specific industry, or with a specific product).
  7. When you’ve finalized your account sharing rules, click the blue “UPDATE SHARING” button to apply those sharing rules to this partner.
